It's been a while since I worked with GP 9.0, but I do recall you needed to do something special to enable new SmartLists in there.  I believe the order of steps is:
Create new SmartList in SmartList Builder
Click on SmartList - it should ask you if you want to update SmartList - say Yes
Go to Advanced Security and give your user access to the new SmartList
(The following 2 steps might not be needed, but just in case)
Exit GP
Launch GP and go to SmartList

Hi,

It has been several years, but I vaguely recall having this issue with GP 9 using a different custom SmartList tool.

I believe that the issue was that even though the SmartList appeared to be checked in Advanced Security, it would not show up for users.

I had to uncheck the SmartList, save the security settings, then recheck the SmartList to get GP 9 to recognize the new security setting and show the SmartList.

Give that a try and see if it works.

Thanks,

We thought it was the regular Security option in System.  Where is Advanced Security so we can fix this?

Victoria YudinOwner / Dynamics GP ConsultantCommented:
If you do not have Advanced Security set up, that's a completely different issue and you would need to set it up before you can use it.  For what it's worth, it's pretty unusual to find someone on GP 9.0 not using Advanced Security, but I do not believe you need it specifically for this if you are not already using it.

While I have not used 'regular' Security with SmartList Builder, according to the GP 9.0 System Setup manual, it should be under Tools >> Setup >> System >> SmartList Security.  If you're not logged in as 'sa' you may also need to look at the additional SmartList Builder User Security settings under Tools >> SmartList Builder >> Security >> User Security.

Hi Victoria, we think that we checked out the security, but not both as you mention.  We'll look into it this morning

Somehow it doesn't work.  We had smartlist builder installed back in 2009 but for some reason somebody uninstalled it.

When installed, we didn't have advance security and all queries create in smartlist builder could be seen and run in regular smartlist.

We did check the regular security and it seems ok.

Please advice how to view the queries created in smartlist builder?

Hi,

Try my suggestion--it applies to both standard security and advanced security.

Remove permission to the new SmartList, save the security settings, then go back and add it back in.  Make sure to do this with the user class if you use those, or if not, with every user that needs to see the new SmartList.

Thanks,

Sorry, I am a bit confused...you say SmartList Builder (SLB) was installed, then uninstalled?  If so, nothing created with SLB will show up in SmartList.  You must have SLB installed on the computer where you want to see SmartLists created with SLB.

Hi Sendow,

         We want this in GP9.

We don’t use User Classes or have installed or setup Advance Security,
only regular Security: Tools >> Setup >> System >> Security.

The options within the Security, we have in:

         Product: Smartlist
         Type: Windows
Series: Sales (we are testing a simple Query for Customer)

We tried all options within “Product” but no work.

Victoria,

Sorry for the confusion.  What we meant was that this Smartlist Builder was installed and
running perfect back in 2009.  Recently we wanted to use Smartlist Builder and it wasn’t
installed.  So we proceed to install it.

After the installed, that’s when we noticed that we the Smartlist didn’t appeared on the
        regular Smartlist Screen.

Can this be related to the problem why we can’t seem to see the Queries created by SLB?

       Please advice

FYI:  we also went to tools, smartlist builder, security, both user security and SQL table security and deleted all access and gave it back; didn't work.

If you go to Tools | SmartList Builder | SmartList Builder, then click on the looking glass next to SmartList ID - is there anything in the list?  If so, can you bring up the one that you would like to use and attach a screenshot of it?

Yes Ofcourse.... give me a minute.

The images that follow are 2.

The first one, 'SmartlistBuilderQueries.jpg', displays the values bring up when created.  We crfeated a Query for zCLIENTS that displays first 3 fields.  Also included the screenshot Option where "Display in Report List" is checked (don't know if this is a must in order to display in regular Smartlist).  And finally. also included the regular Smartlist.  And as you can see, "zCLIENTS" is not displayed within the "Customers" Smartlist List.

The second images, SmartlistBuilderSecurity.jpg, is where we undertstand and that the security is set.  We included both Smartlist Builder Security and GP Security.  Note that in GP Security, what shoudl we do here exactly (we tested all option).  We circled the 2 tyhat we believed is a must "Microsoft Dynamics GP" or "Smartlist"... at bthe bottom is also "Smartlist Builder")

(hope this help, help us)

Thanks for the screenshots.

First things first, a SmartList created with SmartList Builder will not show up inside any of the default SmartList objects (an object is denoted by a little yellow folder on GP 9.0 SmartList, for example Customers or Accounts).  Those options you see under the Customer object are called Favorites and cannot be created or added to by SLB.  SLB will create a brand new SmartList object with the name shown in the Item Name field.  So I would expect this one to be zCLIENTS.  Can you confirm that you do not have that at the bottom of the objects in your SmartList window?

For the security...on your 2nd screenshot, the top right section shows Setup | System ...then you have Security circled, but right underneath that is SmartList Security - what's in there?  Sorry, I have no easy access to GP 9.0 right now, so I cannot check that myself.

For the first, you mean for every Query created by SLB, an Object will appear at the bottom?

For your answer, we have found no additional Object (we placed the "Customer" because in GP10 the object is in within the module, that in "Sales").

For the security question, when in Product we select "Smartlist", in Type, we get the following list:
   - Windows
   - Report
   - Modified Windows
   - Modified Reports
   - Alternative Dynamics GP Windows
   - Alternative Dynamics GP Reports
   - Modified Alternative Dynamics GP Windows
   - Modified Alternative Dynamics GP Reports
   - Custom Reports
   - Files

Can it be possible that we may be missing something? some configuration, dictionary, VBA, etc.?

The thing is that this was working some years back and now even thou all seems ok, we just can't display the results

Victoria YudinOwner / Dynamics GP ConsultantCommented:
Yes, you should have a new object in the list for each SmartList created with SmartList Builder.  They will appear alphabetically in the list based on the name.  So if you created one called AAA it will show up at the top.  Since the one you are looking for starts with a z, that should be at the bottom.

For the security question, what is under the option that the green arrow is pointing to in the attached screenshot?SLB

OMG!!!!! How can we have missed that!!! That was the Soultion!!! Incredible, we we're about to reintall fully; server and stations.

Thanx lots, you are great!!!

One last question, does this mean that each user have to have access to this opion smartlist security everytime they create a smartlist ?

Victoria YudinOwner / Dynamics GP ConsultantCommented:
Excellent, glad you were able to find what you needed.

To your other question - typically only a few users (sometimes just one) in a company will be creating new SmartLists using SLB.  All other users just need to be granted access to view them and then they can see the custom SLB SmartLists without having to do anything special.  If that is not how you're intending to use SLB, maybe it would be best to start a separate thread about what you're looking to accomplish with this?  :-)
