Easier to connect Outlook to the Domino server, via IMAP, and import all mails.

Well, there's a lot of documentation on it... You could start here.

There are two steps, essentially: IMAP on the server, and the configuration of Outlook client.

It's important that the admin of the Domino server has enabled IMAP on the Domino server. Your admin should know how to do this, the Admin Help database contains all the answers. In short, there is some configuration to be done in the server Domino Directory, and then he has to activate the IMAP task on the server console (link). Of course, the user needs an Internet password to gain access to the server (see here).

To configure Outlook is much like configuring Outlook for any other connection: you need the IP-address or DNS-name of the server, you configure it for IMAP use, add name and password, and you're off (link).

couple of more Q

1) Once i have IMAP enabled how do I export the emails from the mailin db in notes ?

2) I have the new mailbox created in outlook with test as the email address , so how do I stop emails coming to the mailin db in lotus  and then activate the new outlook mailbox to receive them ?

3) Stop all mail to the current Lotus mailbox.

Rename the current Test mailbox to newmailbox@mydomain.com and unhide from GAL.

Is this possible to do but still have them accessing the current data in Lotus until the date of swap?

1) You don't export, you read mail (hence importing them) using Outlook; it's just an outlook-to-mailserver connection.
2&3) Don't understand. Stop emails? Why? You can continue to use Outlook, connected to the Domino server.

Which mail server would be hosting the mail for the user, if it's not Lotus Domino? How do you intend to fetch your mail in Outlook?

The exchange server will be hosting the emails in outlook.

Eh?? What Exchange server?? You don't need one. And why only one mailbox? What exactly are you going to do??

Why don't you present your full case right at the start? Discovering the essential details one by one is such a tedious game...

Sorry about the mess....here is the whole situation.

We have domino an exchange both in our company. we migrated to exchange couple of years back and now using outlook for primary email. However we still have some mail-in databases in notes and one of them wants to be moved to outlook.

We created a mailbox in outlook and named it emea.Test@mydomain , this email will be changed when we decide to start using the mail-in database in outlook.

right now the emails are coming to the lotus notes mailbox. what we have planned is

1) If possible they want the data that is in lotus notes to come to outlook , its fine for them if it cannot be copied over to , but want emea.sales@mydomain to go live in outlook

2) then stop mailflow to lotus notes mailbox and rename the emea.test to emea.sales in outlook and unhide from GAL

Is the above possible and how.

also once we do this to outlook they can still access the emails until the day we do this swap right ?

You have to make sure that the mails to the mail-in db are rerouted to the Exchange server. Options:
- let the Domino server forward the mail
- change the address at the sender's, so mail is directly sent to Outlook
- continue to use Domino and connect Outlook to Domino

Who sends the mail to the mail-in database? It should be possible to tell that person or application to send the mail to the new address of the mail-in Outlook client.

Connect Outlook to Domino? As I said: IMAP.
