Proper set up for shared folders across LAN
Hello,
I am planning on configuring 4 users in our office to use an external HD that is currently connected to my PC. It will be a 2 step process. 1st step is to configure the external HD so they can all have common access and the 2nd step will be to configure individual folders on it for backing up their respective email and project files. All PCs are running on Windows XP SP3.
1st part - I made a shared folder for common access called "shared" with a sub-folder with the users names. I gave the standard permissions (which is FULL by default) to all of them.
The IP address is 10.70.10.56 for this computer
The network name for this computer is GLEN.
So the path for the users is:
\\10.70.10.56\shared\john
\\10.70.10.56\shared\elain e
... and so forth
No problems there. John can read/write to Elaine's folders and vice-versa.
The next step is where I'm having problems. I went through and made a share folder called " 'name of person' backups" for each person, with a $ at the end of the share name.
Then under permissions set the individual user to CHANGE/READ, set the permissions under my name (in which I'm the Admin) to FULL, and everyone to DENY (all three check boxes are checked off).
Folder structure is below:
\\10.70.10.56\shared\johnb ackups$\em ail
\\10.70.10.56\shared\johnb ackups$\pr ojects
\\10.70.10.56\elainebackup s$\email
\\10.70.10.56\elainebackup s$\project s
... and so forth.
However, when I open to windows explorer and punch in the IP address, I can still see the contents of everyone's folders (whether or not I am looking at the "shared" folder or the "backup" folder.
I was under the impression that you cannot readily see the folders with the $ character. Or do I need to append EVERY folder with the $ to keep it from being seen?
To recap, the intent here is to 1) create one environment where ALL users have access to each others folders to copy and paste files to, and 2) to create secured folders for each user to backup up their work and email.
What am I missing here?
If there is a good step-by-step document out there please point me to it.
Thanks in advance for your replies!

Sorry everyone,
I was on a long field assignment and did not return your replies promptly like I should have.
The response below is in regard to rigo2013's reply.
Rigo: I assume that once I open the properties of the share, I need to click on WHICH user name?
Admininstrators, or
Authenticated Users, or
SYSTEM, or
Users, only one showing which is the user name for this PC (GLEN\users)
If I pick lets say, Authenticated Users, then click below where it says ADVANCED. I see four tabs under it:
Permissions
Auditing
Owner
Effective Permissions
If I click on the Permissions tab, I see the same FOUR users I posted above.
Then below that window there are ADD and EDIT buttons.
Then below that there are TWO checkboxes: "Inherit from parent the permission entries that apply..." which is checked. Then the next checkbox is "Replace permission entries on all..."
What is the sequence to follow?

Well THANK YOU for the detailed info. I will try it when I get back to the office on Monday.
BTW, I did notice that these screenshots were done in a newer OS (Vista or 7) than what I am currently working with (XP). Not an issue there?
