Lotus Notes: Email disclaimer - external only

Hi All,

Where do I set the email disclaimer in Lotus Notes?

Ideally, only for external emails.

We have three disclaimers.  One for each country we work in.  Each have their own email server.

In the Configuration Settings document for a server, go to Router/SMTP, then Message Disclaimers. Don't forget to restart the router when you modified the settings.

I only have the option to enable the disclaimer.  Where do I set the text?

You have to create a policy, you'll find the Disclaimer text in it.
It's really well explained in the document "Setting up and using message disclaimers" in the Admin Help database (link).

Is there a way to get it only apply once?  Or ideally move it to the bottom of the email?

What do you mean: apply only once? Do you get the disclaimer text twice then? That would seem strange...

By the way, there are 3rd party tools that seem to do an excellent job with the disclaimers, for instance Crossware (no shares attached ;-))

I think Detox means if you send an email the first time, then someone replies and you reply to that reply, a second disclaimer gets placed on the bottom.  If you continue to reply up and back, you could have a page of disclaimers.  

That's our problem and IBM said there is no way around it because there is no code or field on the email that determines if the disclaimer was placed on the email already.  

What IBM should do is offer the option to place the disclaimer on the email replies.  Maybe in version 9, but for sure not in 8.5.3
