Looking for an easy way to Document Backups per server

For example, lets say I have 3 servers, a file server, a database server, and a DC. I would like an easy way to Diagram or Document, that for example the file server syncs to NAS, the DC does a system state twice a month that gets off-sited to the cloud, the DB server has a SQL maintenance plan that kicks off nightly to NAS then cloud.

To make things worse, all servers are VM's which are copied monthly to NAS

Again I would like to somehow visually document the process, per server. Is there some sort of template or excel sheet anyone recommends as a good starting ground.

I have no artistic ability at all, but I would love to essentially diagram a server, identify a db, its maintence plan and where its going, then identify the vm image of the server and where its going. Something to show the suits. I wish I payed more attention in art class.

Well, again I lack creativity.  Essentially to have an image of server, its name, what files or databases it has on it.  Some sort of line, a Nas box or cloud box that it backs up to listing the directory.  Then just being able edit that for each server.
