Outlook tasks archived?

Hi Experts,

I have a Exchange 2010 SP3 organization with multiple CAS/HUB/MBX/UM servers across two different sites. We have archive server policies to archive user's mailboxes depending on different SLAs. All our exchange servers are hyper-v vms running Windows server 2008 R2, and end-client run Outlook 2010 and 2013 both versions.

My question is, is there a way in Exchange and /or outlook to archive tasks in Outlook?.

I have a client insists that they have never seen this archive feature on tasks before they were always able to see their tasks and they were not being archived. The issue here is that for some reason the outlook tasks are gone, and would like to dig into the possibility the task are being archived by our policy or maybe something else.

Are users able to disable the archive function on tasks specifically? if not,, is this handled by the archive server policy? how can I make sure the tasks are not being archived? If the tasks are being archived, where should I look to? on the archive mailbox?

This issue happens only to one user so far. Please do not recommend to recreate outlook profile, or try from OWA, or outlook online, because we did reproduce the issue by following those alternatives

Step-by-step please

First thing to check is whether the Outlook archiving feature is enabled. If the user is on multiple machines, particularly a machine at home, then it could be set there.
I would also check deleted item recovery and views to ensure the user simply hasn't hidden them.

The fact that only one user has the problem would tend to suggest something else has happened to the tasks, unless no one else uses tasks in your org.

If tasks are being archived with the archive policy then they will be in the archive mailbox.

Task rentention tags were introduced in SP2 rollup 4. This excellent blog posting on the Exchange team blog explains everything.

How to check the outlook archiving feature is enabled?

how to retrieve the archive tasks if they are archived?

how to retrieve the archive tasks if they were not archived and they were not deleted accidentaly?

Right click on the Tasks folder. The archiving feature is managed there. If they have been archived through Outlook you need to find the PST file to bring them back.
The most common reason this happens is a home machine is used. You can disable Outlook archiving with Group Policy, but of course that wouldn't apply on a home machine.

Are users able to disable the archive function on tasks specifically?

You mean the Outlook archive? They can control anything that happens in Outlook that isn't covered by Group Policy or the policies that you have created.

Hi Simon,

I would like to clarify that tasks are being archived with the archive policy, therefore they supposed to be in the archive mailbox. However I am unable to find them under the archive mailbox

Any ideas on why i cannot find the tasks archived on the archived mailbox?

Are users able to disable the archive function on tasks specifically?

Next steps to locate the archived task on the archive mailbox?

Have you checked deleted item recovery to see if they are listed there?
Have you also checked views to ensure that the items are not being hidden?

Did you read the article that I pointed to in my first post?
