office management software

we have an office where 5 different people can be accessing the same file at the same time.  they do accounting type transactions logging invoices etc.  currently we have a machine running windows 2003 and there is something called sqlbase server 9.0.1 on it
id like to get a new computer with an updated operating system and im hoping there is something besides this sql (which nobody who currently works here is familiar with) that we can use so people can share files etc at same time.  thanks so much.

If you just don't want to use the old OS/SQL server and want an updated version, of course one recommends Server 2012 R2 paired with an updated version of SQL (2008 R2, 2012, 2014, depending on the software communicating with it.)

If you don't want to use SQL and want something simpler then the obvious choice would be Access. In a Windows environment using Microsoft products you wouldn't have to worry about integration.

so if we get a new pc and don't use sql, can the files on the new pc be simultaneously be accessed via Microsoft access?
