Resource mailbox for absentees

In our department, users who go on vacation or who called in sick are recorded in Outlook calendar and sent to everyone in the Distribution group.
The problem is once you receive the appointment and accept it , it will go to your calendar and it gets cluttered when you have many appointments already there.

I would like to know what is the best approach  to handle this inconvenience. I know that some create Resource mailbox for that, however resource mailbox does not remind you of the appointments.

Any work around that ?

You are correct. You should be creating a Resource Mailbox and calling it Vacation / Sick, or something like that, which easily identifies it's purpose. From there you simply share out the calendar to everyone give read access and have Managers of each department read/write access to this calendar. This will allow the managers to update their staff vacation / sick etc.

Then all the others users that have read access just need to add this calendar as a shared calendar. This way the calendars are completely separate and they do not overlap with their default calendar.

This would be the most appropriate option IMO.
