Meeting booking with room object in exchange 2010

All the users are booking the meeting without updating the meeting room object . I did not get the right option to request the meeting and the room booking at the same time  . following are the thing to resolve

I have already create the room object as board room and set the delegation user as me .

how can I assign the each room wise owner who can book the rooms and notify to the meeting members , that owner most of the time not in the meeting members list . it can be in the list or not  . but we wan to book the room from one person ,

is there any way we can restrict the users who can request the room .
with my exercise users who request for boardroom not visible from the client end  . only in my calendar can see the booking details not from the others who requested .

And also book the same time multiple meeting rooms slots ,

Please follow this article to configure Room Mailbox property:

This steps are mentioned in mentioned article:

1.

In the console tree, navigate to Recipient Configuration > Mailbox.

2.

In the result pane, select the resource mailbox that you want to configure.

3.

In the action pane, under the name of the resource mailbox, click Properties.

4.

On the Resource In-Policy Requests tab, configure the following settings:
All Users   Select this option to allow all users to submit requests within the resource policy's configuration.
Selected recipients   Select this option to specify who can submit requests within the resource policy's configuration. If you select this option, you need to click Add to select the recipients. You can also remove selected recipients by clicking Remove.

5.

On the Resource Out-of-Policy Requests tab, specify the users who can submit out-of-policy requests. Users who can submit out-of-policy requests won't have their request denied, but the requests will require approval by one of the resource's delegates. Configure the following settings:
All users   Select this option to allow all users who submit resource requests that don't meet the resource policy's configuration.
Selected recipients   Select this option to add specific users who are allowed to submit out-of-policy requests. If you select the Selected recipients option, you need to click the Add button to select the recipients. You can also remove selected recipients by clicking Remove.

I have done the above creation part  . my issue is to select the option according to below requirement

only one person should be able to book the room schedule . in other word that person is going to be the owner of that  room .every one can request meeting with the room booking ,but only the person who mention above can accept /confirm the booking ,

please let me know the changes needs to enable from the above option  . I did not get the clear picture with option so far . may be due to my little knowledge .

You will have to follow the below one for approval process:

I have done the creation and did some few testing and realized the  below  thing

meeting  name - test  
members : u1,u2,u3,u4,u5,u6
owner : Ow1

U1 made the meeting request with the room booking  - it is working
U2 - cancel the meeting  . but other members are not getting the cancel booking of room . but meeting will appear in they are mail box .

is it possible to cancel the meeting and the room as a meeting member or we should go to the meeting owner to cancel  the  room ?

all the other testing were good - including the members are not allow to cancel the room booking . that is really good in our case

Do we have to include the owner also in the  meeting request as member ?

Above scenario is scratching my head actually.

If U1 is create a meeting so how U2 can cancel this meeting until U2 does not have permission to U1's mailbox.

FYI, Organizer only can cancel a meeting, if anyone else want to cancel the meeting so that user must have permission of organizer's calendar.

Rest if you are accessing meeting from Room mailbox and trying to cancel it i think it will delete the meeting from room but will not send cancellation msg.

sorry u1 is canceling  meeting . but that cancellation will include only the meeting   . not the room  . that is fine . that is the normal practice

In that way any of the member cancel the meeting  . owner of the room need to inform that in case of that owner is not in the TO : filed  

otherwise room schedule will not update accordingly

No, it does not happen, when U1 will organize a meeting including Room and other users. so cancel notification will go to Room and other users as well until U1 does not remove anyone from meeting intentionally. This is by design.

by practice do we need to add always  room delegation user (owner ) in to the meeting invitation request

If you are selecting room as location then your meeting invitation will be sent to Room mailbox, now if you cancel the same meeting and sending cancellation notification to all including Room mailbox so that will update calendar of Room mailbox.

I think there is no need to add room mailbox owner unnecessary until she/he is not a meeting attendee.

Usually people in org. set a meeting schedule with required attendee and room mailbox. then organizer send a separate notification to IT/Admin to arrange requirement components in meeting room.

That is all about best practice.
