Vigilance and prudence in protecting organization documents

I was wondering, does anyone in this forum possibly have information pertaining to prevention of unauthorized document access control such as a disclaimer with policy?

Document control should be implemented with policy, procedure and technical solutions

1/ Identify the documents or types or documents you want to control
2/ Know where the documents are. This can be easier said than done as there can be local copies, email attachments and even copies in cloud providers (e.g. dropbox).
3/ Ensure all copies of these documents are located in repositories with encryption, access controls and retention rules as appropriate to level of security needed for the documents
4/ Applying policies and conducting regular audits to ensure only authorized staff members have access to important data and are acting according to policy with the documents.
