Setting up QuickBook in a Workgroup setting so it can be shared

Just got the 3 license version of QB 2015. This is a workgroup setting where one computer (a Windows 7 Ultimate) machine is acting as a file server where I have I have a couple of drives and I am sharing folders for company tasks.  I want to setup QB in a Multi-user environment so two computers can access and work on the folder.  The license says I must have QB installed on each computer that accesses the database.

I was told to just install QB on the machines I want to use, and store the company file on a share in the server, then just open the file from the shared folder on the machines that have QB installed.

Should I install the QB Database Server in the shared folder on the windows machine acting as a server or should I install the full version of QB on the Windows 7 machine that's acting as a 'server.' Only a couple people need to access QB and they will usually be onsite.

When not using a server, you do not need the Server manager.

Install the full version of QuickBooks on each machine.
Put the QB data file on one machine (the main machine).
Make sure the other machines can see the folder on the main machine that has the company data file.
Open the Company File on the main machine.
Select Host Multi User Access in QuickBooks on the main machine (File Menu, Utilities menu)

Now open QuickBooks on the other machines and navigate to the main machine data folder and open the file.

Main machine user must keep QB open and running for Host Multi User access.

Does QB have to be open on the main machine at all times or only if more than one user is accessing it? I thought if the company file was on a  share it could be open by one of the other machines that have QuickBooks installed?

While I'm not using a windows server it is a headless W7 box that I remote into. I set it up as a host to the company's Access Member Database. And it acts as a place to store backups.

If QuickBooks isn't open on the machine but the machine is on can't another machine with QuickBooks  installed open the company file, if that user is the only one using the file?

Thanks. Part of the issue I am dealing with is this is a nonprofit organization working with donated computers. They were able to buy one new system so we sort of use this one to hold vital information!
But I could use the headless machine for backup.
