assistance running a web base file transfer

Dear experts,

I am trying to install a web base file transfer application in windows server 2008. The server is part of our internal member servers and it is a virtual and it is placed behind the main firewall. For file sharing the application creates the file link and it is asks me for an smtp server IP and port . I put that information and I did the test. The other think the application asks for is an email account that will show when the user uploads the file and sends it to the receiving user. The issue I am having at this point is when the application tries to send the link to the receiving user and the log shows the message could not relayed. What sort of an email account is required?

I can not interpret with the issue is and I need some guidance from a system admin. What do I need to tell the exchange admin to do and what do I need to tell the system administrator to provide so I can make this work.

Here is another scenario,

A technician puts a device on the network and uses an email address to send alerts. What does he needs to do on the exchange server to make this happen. What information he needs for this to work.
What device are you using ? Usually firewall or utm device have an option to use its own smtp to send alerts. If it needs your smtp server, like you said before, you need Email addressaccount and password information and also smtp server ip address. He doesnt need do anything on the exchange server.
