Se secure your laptops against data theft you need to do:

1. set a BIOS/UEFI boot password
2. encrypt all files on the harddrive of the laptop
3. prevent booting from external media (CD and USB) on that laptop
4. disable USB-Mass storage and cd burner in the Operating system.
5, dont allow internet access except over the comapny vpn.
6. white list internet ressources your employees need, be sure there are no services open that allow uploading of files or writing of e-mails others than your company servers.
7. keep all devices up to date with patches and updates to prevent exploitation
8. Prevent users from execute any binaries they downloaded or recieved via e-mail.

but they have to connect their laptop to cellphones, they will take pictures at the site and all will be shared, is there any possibility to have logs of data transfer

I'm not sure if usb file copying can be monitored. Maybe with 3rd party tools.

But you might use bluetooth transfer or the non mass storage version of the image transfer that many smartphones support. This will still work if you disable usb mass storage.
