VISIO 2010 Link Imported Excel Cells To Several Text Boxes

Hello,

    I have an Excel sheet I have inserted on a Visio Page which I would like to use to link to a few text boxes rather than copy the data and manually copy paste to the text boxes.  Does anyone have any suggestions on how to link a specific Excel Cell to Visio Text boxes, possibly using the custom formula in the function feature?

The Visio data linking feature should help do what you want. It's in the Professional edition of Visio (in Visio 2010 it's in both Professional and Premium -- just not Standard). The link you'll create will actually be to the original Excel file and not to the embedded version.

However, before I list specific instructions, a couple of questions: Do you really want the Excel data displayed on text boxes? Or is your goal to use the text to label another shape? I ask because if it's the latter, there are better ways to handle it than using additional text boxes. For example, if you add the data from Excel to the shape you want to label, you can Insert>Text>Field, or use data graphics or callouts. Here's an example of each of those, from left to right. You can create the first and second with a few clicks; the third requires a bit of 'power user' knowledge about the ShapeSheet. User generated imageBTW, don't get hung up on the appearance of any of the three. All can look very different, especially the second and third.

A final note for now: Embedding the Excel sheet in the Visio diagram is not required to make this work. Is there another reason why you want to have the Excel sheet on the Visio page?
Ryan -- if you can answer the questions I asked above, I'm sure you'll be able to create diagrams that are correctly labeled, and do so without copying and pasting.
