Office 365 mail retention policy and restoring mail
Office 365 Email Retention and options:
Hi experts.
Scenario is this. Have long term client. 28 years! Have them on office 365. Long term employee leaves and decides to delete some work email. Should not have.
So now, we are trying to get it back. Told by micrcosoft to look at the Retention policy. I am not sure what it was but I have now set it to like 68 years.
So the questions I have are this (because talking to different MS techs, I get different answers): What are the best policies for 365? If a user leaves and deletes email and deletes the trash out too, how can I get that mail back? They are not using outlook, just webmail. (some are using Outlook, but mostly web).

The only requirement for retention policy to work properly on mailbox is to have Exchange Online plan 2 licence assign to users whose mailbox need to be keep.
There is second option to set mailboxes on litigation hold, which will keep all content of mailbox on server as well:

Both of features working same way. Both of them require at least Exchange Online plan 2.

That is good! Since you have been able to export the PST file, it means that at least some of the mailbox data could have been restored. Now, you can open the exported file in Outlook and filter through it. to confirm that the important items are intact.
The only way to make this process not troublesome would be to use a backup solution, like CodeTwo Backup for Office 365
