outlook, calendar

when scheduling a meeting in one of the rooms available that have a conf. call number assigned to it, once i save and print the meeting page, the conf. call number disappears

in print out page

do i need to check any settings in calendar?

You need to put the call in details in the body of the appointment. That is the only way (I know) to get around this. We (me, clients, associates) do this 90% of the time. If necessary, I copy the details into the body before saving.

Highlight the details of the meeting, Ctrl-C to copy. Go to the appointment, click in the body and Ctrl-V to paste it in.

I do this routinely and it works.

It is, of course, not automatic.

A user had createdcuston calendar  in his outlook and shared with us he renamed the calendar but it shows us the old name still

They are probably in the email that carried the appointment. That email is deleted when you accept the appointment. You need to get the details from the email.

I think this is what you are talking about, but clarify for me if the above is not the case.

The user is initiating the meeting and trying to give the conference room details

How he should copy the details

The user should put the details in the body of the appointment. Then the details will be saved with the appointment.

The user knows where the details are and can copy from there and paste into the body of the appointment.

And while sending other user doesn’t see conf details when sending the meeting invite

I don’t see any option to copy dial in number access code and password for meeting room

Then you need to do it manually if the details cannot be copied.

We have this need for Board Members and dial in access numbers and codes are placed in the body of the appointment.

This facilitates access in Outlook and on an iPhone when Calendars are synchronized.

Details of appointments, if you entered them in the body of the appointment, are there for all to see in any version of Outlook back to V2002 or even earlier.

Why can you not see the body of the appointment?  Just open it.

my conference room details comes next to accepted on (9/18/2018) top not in body, I believe I need to type in message body

It is up to the person creating the Invite to make certain conference room details and like are in the body of the appointment BEFORE sending out the invites.

Trying to add AFTER the invite has gone out is very troublesome. I have had to do this when there is no other way. However, get meeting hosts to do it correctly
