Cannot scan to email.

I am trying to set up scan to email on a network multifunction. The new multifunction is an upgrade so all the network settings were migrated over from the old one that was always able to scan to email and scan to a network file share. I put in the SMTP server and username and credentials. I put in the correct ports and made sure it  uses SMTP authentication and not POP or anything like that. It hasnt had any issues printing and it can scan to a network share but not to an email. From the machine itself it even does a succesfull SMTP server connection but it fails to scan and send anything to an email. BTW this is a Ricoh      Aficio MP C400SR.

What mail system are you using? Knowing whether it's an onpremise or cloud system is one of several factors that will help in sorting this out.

Show your settings settings on Exchange meant to make this work?
This is not the only multifunction we have. We have at least 10 others that scan to email. I uploaded a screeshot of the SMTP settings in the multifunction.

is DNS configured correctly on the machine?
A few things come to mind:
  • Make sure that the machine supports TLS
  • Make sure that the account used for authentication has no issues,
  • Make sure the firmware is update to date on the machine.

Another option (this builds off the first suggestion in the list above)...
Go physically to the machine. Go to User tools-->system settings-->file transfer-->smtp server
Make sure that SSL is enabled.
Have you contacted Ricoh support? They might have a quick solution.
