How To Sync Outlook Email in spite of Retention Policy

The user connects via VPN to the company network, then starts Outlook.  
The retention policy of Outlook is only 2 months, which is not useful for sales that can take much longer to complete.  Their Outlook configuration will not allow exporting to a PST.

Is there a third party Outlook Synchronization tool that would allow them to have a full copy of their Outlook files saved, so that they could retrieve mail past the deadline of the Retention policy?

At the present time, they are unable to have this retention policy changed.

If they store this synchronization set on a detachable external USB drive, would the IT department be able to delete these files?

exporting to pst is your only option. Get the retention policy fixed.
Two Months is unreasonably short.  Look at this forum. It can take 6 months or more for a user to close a question. You really need to ask management to fix the policy to fit the business.

Exporting to a PST as David suggests is the only other reasonable option.

I found this software that makes a backup in a database format, and that comes with its own reader.
It's called Mail Backup X, and works on Mac and Windows

Will your user's business allow the use of this software?
I discovered that no additional software can be installed by the user.

Is there a way that select messages can be dragged from Outlook 365 onto a webmail account - like gmail?   The user could then copy and paste saved messages from the webmail to new Outlook messages.  They would at least have an archive of important items, even if they had to keep manually transferring messages.

If their office settings would allow, could they set up a second account in Outlook with mailboxes, and then copy messages into that account?
