websites and email notices are what they use instead of paper i.e. link to or file attachment of a pdf of the invoice.

Just wondering what the industry trend is for using paperless software.

(almost) every industry is evolving and going through its own digital transformation. That's the trend in the world.

Other than go paperless by replacing physical documents to digital forms such as PDF, Word. The content of the papers also can be stored in different ways in database, etc. Having said that, the way you store the data should be robust enough so it can then transform back to papers when it's necessary.

In addition to what has already been said, I would also like to point out the ease of managing the information if it is paperless. Firstly, it is much easier to find the documents be it .pdf or. docx as it is as simple as going to the file explorer and typing in the document code or something related to the title. Furthermore, within each document, we can also find information faster by using Control+F to find related fields we need.

In contrast, some companies still keep additional hard copies in physical format and this is usually a backup and/or it has to be in a physical format as required by management. For example, these can be picture albums, facility bookings records, awards certificates, extra copies of employment contracts etc.

Conclusively, it is much more efficient to be using the paperless solutions provided for computers today, however, it is also still a trend to see  hard copies being used for various other purposes. Another reason is because an actual physical signature has to be recorded.
what is "Paperless Software" exactly?

as far as i know, software runs on computers, not on paper!
