Users randomly lose access to SharePoint 2013 site

I am a Site Owner in our SharePoint 2013 environment. Periodically users randomly lose access to our site including me and I have Full Control access.  When one of the Site Owners is able to get in we can assist others by adding them back to the group although they still show as a member of the group.  Once we add them back they are able to access the site shortly after the add.  Has anyone else ever experienced this issue?  Also, I do not have access to the server and are limited in my trouble shooting.  I do know there is an Set Item Level Permission workflow that does a replace of all the permissions for that particular item. Could this be causing an issue?

Can you look back at what has changed or what was done prior to the issue starting to occur ?

Also if you think the workflow is causing the issue can you disable it for a period of time ?

This issue is pre ME.  This just started happening out of the blue.  There were no changes from this side. We just recently got access to look at the workflows and that too is now sporadic. I had access yesterday but today I get the error "The administrator has disabled this functionality for this type of workflow."  So the support team could be doing some things on the backend that are causing us issues. Unfortunately I only have Site Owner permissions. We are in the process of getting Site Collection Admin rights. I wish I had access to the ULS Logs to see if it can tell me something and the SharePoint admins are not very nice to us so getting assistance from them has been very trying.  Like right now I am still kicked out of the system.  One of our users was kicked out but has access again.

Yes best option would to work with your server teams and get the logs you need to see what is going on and if something is being changed to kick access from you and your team.

Just a few points to keep in mind:

  • The 'set permissions' workflow seems like a big problem and could break things as you describe, depending upon how it is configured.
  • Having Site Collection Admin will not make a big difference in your troubleshooting. As a Site Owner with full control you should be able to troubleshoot permission issues sufficiently. SCA is a good to have, but not a silver bullet to help find all issues.
  • The ULS log will overwhelm you probably. It is thousands upon thousands of lines of cryptic entry. Much worse than finding a needle in the hay stack.


Here is a suggestion, download the trial Version of Sharegate. It has a permission report that may help you. The trial version will probably only provided a limited report, but that might be enough information to help you out. You can also run it from you workstation, it does need to be installed on the SharePoint server(s)
