O365 and copying emails

I am the owner of an office and use O365 Outlook. So, everyone's emails are located there. I have an employee who is leaving.

I am advising her to go through her Documents folder and another other folder which may have things she needs to take with her or in case I delete them. I usually just inactivate the account rather than delete it completely.

I am not big on keeping their emails. Is there a way for her to download all of her email before she leaves and then delete the emails on O365?

export her mails to PST and give her a copy... then you can delete

all the best

Just make sure you store the PST file somewhere that is backed up.

I usually do an autoreply. But, it won't take her long to start getting emails again from:

Bed, Bath and Beyond
Zenni optical
Pets R Us
Toys R Us
Twitter
Amazon
Apple
Kohl's
etc
etc
etc
