What is the best thing to do for applicationa mail stmp?

Hi,

I have all mailboxes in 365.  On-premise Exchange is used for management.

For printer, application, scanner, etc. what should we do?

1-Use on-premise Exchange as SMTP?

2-Mount a new separate Windows with smtp service?

3-Use  MS 365 server as SMTP?

It's depends on your plans and design, if you're planning to have your mail server on prem, then you will need to add a domain name and point it to your on prem exchange IP. If you don't mind leaving them on the cloud it's you call. Moreover you have to check the cost of having your email on prem (maybe you need servers for storage, additional licenses, buying a new domain, a real IP, Firewalls, mail filter...). you compare the budget the cloud (azure/office 365) and based on the result, you take the decision to leave it as it is or moving to email on prem.

Because ISP usually gets in the blacklist, then your emails messages will get rejected if your public IP is on a blacklist (for Microsoft EOP, because is the only way they can FILTER a spammer that actually is a spammer and you), those messages (on option 2 and 3 on the article) do not require authentication and Blacklist is the only way to filter.

Also I think when it's time to troubleshoot it's very hard to check the log compare to Exchange where query is very easy with PS.

To troubleshoot that I'd just my app and see if from your side (from any computer in the office) I'd try my app without authentication and using the MX point to O365, if it works, then you're good to go with the printer on option 2 or 3.
If it fails ISPs won't help a lost soul lol, so options 2 and 3 get discarded and the only way possible is to use SMTP AUTH. that's the reason why it was proposed by me as 1st option.

 I mean with Exchange if you need to see if email has sent out we can do a mail trace but with just Windows with SMTP service installed this is more difficult as you need to check the logs manually.

Well it's not true, you can still make messages trace from The Portal/Show all/ Security/ Mail flow/ Message Trace or from Portal/Show all/Exchange/Mail Flow/ message trace
