How do I install Outlook?
I need to replace an existing hard drive and I will need to have Outlook look the same as on my existing system. If I just reinstall Office and start Outlook, the folders in my inbox will not reappear. What backup do I need to make so Outlook looks the same as on my existing system? It is Office 365. The OS is Windows 10 64-bit Pro.
You need to use the same PST file which houses you emails and folder structure.

When I open Outlook, this is the screen that appears. I can copy the Outlook data file to a second internal hard drive, but do I need to import it, or just point to it when I open the newly installed Outlook?Outlook.JPG

One little gotcha you might want to avoid when migrating from one installation to another is if you were using POP to retrieve your email, and if you kept a history of email on the server for, say, 60 days, then the first time you retrieve your email in your new setup Outlook will re-retrieve the last 60 days of emails that you kept on the server, resulting in duplicates in your inbox. If you are an obsessive email filer and your inbox starts off empty, it will be easy to find and delete the duplicates. Otherwise, after they have been retrieved, you can sort your email my maintenance date and all the duplicates will be grouped and easy to find and delete.
There are other folders of interest that you can save from your old hard drive and copy to your new one (or restore from backup). I have accumulated this list over the years.

Type of File | Filename or Extension | Outlook Profile Specific | Folder path under C:\Users\<user>\AppData\ |
Personal Folders (including SharePoint Lists) | .pst | New profiles: pst files for POP3 accounts are created in your Documents\Outlook Files folder. If you are using a profile created in an older version of Outlook, pst files are in Local Settings\Application Data\Microsoft\Outlook (default, but .pst files can be anywhere on system)
Offline and Cached mode folders used by Exchange server and the Outlook connector. | .ost | Local\Microsoft\Outlook If you have access to the IMAP or Exchange Server account, then Outlook will rebuild the .ost file. If you don't have access to the IMAP or Exchange Server, you can only open .ost files using the original account, so to migrate it to a new computer use an OST to PST converter like OST2.
