Can the iPhone default mail account handle a very large amount of email held by Exchange?

The user has decided that they only want to use an iPhone for all of their computing needs. They only want to use the iOS Mail application for several hundred thousand emails, which currently are filed into folders.


  • Will the iOS Mail app allow them to search for and find mail?
  • Will new incoming mail be seen?
  • Would moving their domain mail from Exchange to Google hosting make a difference in managing large quantities of mail?


They connect to Exchange 2016 or maybe a later version

They didn't keep up with the deletion of their email, and by trying to remove their address from mailing lists.  They currently get about 300+ emails a day.


Managing all their email on an iPhone hasn't worked properly in the past.  Too many files in the Activesync Inbox on iOS Mail tend to prevent new email from being received.


I have set iOS mail to only show the last 30 days, which kept all the newly arrived email appearing.


They don't want to use Outlook for iOS

In the past, when they were using a MacBook Air, I would move mail into folders by month.

They have 90,000 emails from 2022 

They have 65,000 emails from 2021

I have gotten them to agree to only keep 2021 and 2022 active.

I'm worried about having too many emails in the Inbox.  The Exchange Host - Intermedia - quoted Microsoft as saying that a folder should hold less than 5000 items.  I've observed that Activesync is 'quite robust' (as is said in this industry), and can handle folders with many thousands of emails.

The users has expressed a reluctance to look in other folders, where I have archived old mail.  I assume that the search will go through all the folders.

I was thinking of moving years previous to 2021 to an archive account, to reduce what needs to be searched.  Is that necessary?


(By the way, David, I am proud to say that my father was a navigator in the RCAF in 1944-45)  

That is why enterprises use retention policies AND archiving 

What's your company policy. User need to follow company policy. You can force user to use Outlook via mdm solution and use archiving or else user need to live with the iOS mail limitations.
